Job Description

About the Role

The Primary purpose of this position is to provide accurate, confidential, timely, efficient and effective high-level office administrative and governance support services for council. This is a Permanent Full Time Position.

Desired Skills and Experience

Your value proposition to us:
•      Tertiary qualification in administration or business or equivalent at Certificate III level or above or equivalent. 
•      Demonstrated experience in undertaking a high volume and varied workload without compromise attention to detail.
•      Demonstrated ability to communicate sensitively, tactfully and effectively with both internal and external stakeholders.
•      Demonstrated writing and editing skills with experience in formatting and management of large documents, with excellent attention to detail.
•      Demonstrated intermediate skills in the use and application of Microsoft suite of products (in particular Word and PowerPoint). Demonstrated experience in administrative business support role. 

Current certificates of attainment to be provided.  

Your average workday will be kept busy by:
•    Managing and prioritising a high volume work load.
•    Communicating effectively with a range of stakeholders with conflicting priorities.
•    Ensuring objectivity and independence within a complex regulatory and political landscape.
•    Provide comprehensive administrative and clerical support to Rous’ shared services Group Managers and the wider shared services teams.
•    Prepare agendas and meeting minutes, along with managing and tracking actions for the Audit Risk and Improvement Committee, Consultative Committee, and Health and Safety Committee.
•    Assist in preparing reports, presentations, and documentation, including annual reports, workshops, presentations, and IP&R materials.
•    Oversee the shared services Group’s reporting obligations, ensuring timely follow-ups with responsible officers for all statutory, internal/external reporting, and recurring tasks.
•    Support the administration of the Electronic Document Management systems, including creating folders and organizing documentation.
•    Coordinate the accommodation and travel arrangements for shared services Group staff as needed.
•    Assist with land-related matters such as title searches, land status investigations, and registering easements/land dealings with NSW Land Registry Services.
•    Contribute to the insurance renewal process by liaising with other business units, gathering information, and performing data entry.
•    Execute various governance support activities, including compliance audits, action tracking (internal/external audit, policy and procedure expiries), drafting and maintaining instruments of delegation and authorization, managing the Returns of Interest process, and providing staff training.
•    Foster positive, collaborative relationships with Business Support Officers across the organisation and serve as a backup for the Executive Assistant to ensure business continuity.
